Executive Assistant

This position will provide high-level administrative support to senior leadership, ensuring seamless coordination, proactive problem-solving, and efficient daily operations. This role requires strong judgment, exceptional communication skills, and the ability to handle sensitive information with absolute discretion.


Responsibilities

  • Serve as a strategic partner and primary point of contact for the executive, including managing complex calendars, scheduling meetings, and coordinating travel.
  • Screen, prioritize, and route calls, emails, and other communications on behalf of the executive. Draft, review, and send correspondence as needed.
  • Plan and support executive meetings, leadership gatherings, and company-wide events. Responsibilities include preparing agendas, taking minutes, organizing materials, and overseeing logistics.
  • Prepare, review, and format documents for internal and external audiences, including memos, presentations, reports, and general communications.
  • Conduct research and compile information to support briefings, presentations, and decision-making by senior leadership and boards or committees.
  • Prepare, submit, and track expense reports accurately and promptly.
  • Support special projects and initiatives, providing research, analysis, and cross-functional coordination.
  • Handle confidential and sensitive information with professionalism, discretion, and sound judgment.
  • Assist with general office management tasks such as maintaining supplies, equipment, and administrative workflows.


Qualifications

  • Bachelor's degree or equivalent experience.
  • Minimum of 5 years of experience in executive-level administrative support.
  • Advanced proficiency with Microsoft Office Suite and familiarity with project management or productivity tools.
  • Exceptional organizational and time-management skills, with the ability to balance multiple priorities in a fast-paced environment.
  • Strong written and verbal communication skills.
  • Demonstrated ability to work independently, exercise initiative, and make well-informed decisions.
  • Proven track record of maintaining professionalism and confidentiality at all times.


Salary & Benefits:

  • The targeted salary range for this position is $75-85K
