Job Summary
Kutak Rock LLP seeks an Administrative Coordinator for our Tallahassee, FL office. This pivotal role provides comprehensive office support by coordinating day-to-day office logistics, procedures, vendors, office budget management, and other projects as needed. This role is ideal for the individual who is adept in creating a professional and welcoming environment for firm guests and clients while providing an efficient and organized workplace for firm colleagues.
Responsibilities
  • Provide comprehensive office administrative support for office facilities, supply management, staff coordination and coverage, and technology
  • Professionally greet clients and guests of the firm and answer incoming calls
  • Ensure compliance with firm visitor and security policies to maintain a safe office environment
  • Manage conference room scheduling, equipment, set up, and maintenance for firm members and guests
  • Organize internal and external office and community events, including catering, reservations, headcounts, and expense tracking
  • Maintain positive relationships with property management and firm vendors
  • Schedule repairs for office equipment and maintenance, connecting with and escorting vendors
  • Coordinate, manage, and assist with office incoming and outgoing mail, including emails, faxes, bulk mailings, and package shipping and delivery
  • Maintain inventory of office supplies and breakroom supplies
  • File and organize records, invoices and other important documentation, and assist office personnel with records management
QUALIFICATIONS: Skills and Abilities
  • Ability to work independently and apply critical thinking
  • Ability to prioritize, organize, and multitask effectively
  • Excellent verbal and written communication skills
  • Keen attention to detail
  • General knowledge of PC and Windows applications, including Microsoft Office products
  • General knowledge of standard office equipment
  • Ability to perform moderate lifting, pushing, and pulling of supplies on dollies, and maneuver shredding buckets throughout the office
  • Willingness and ability to work extended hours when needed
QUALIFICATIONS: Education and Experience
  • High School degree or equivalent required
  • 2+ years of experience in administrative or office management
