POSITION SUMMARY
The Operations and Development Coordinator plays a key role in ensuring the smooth day-to-day functioning of Campus for Hope's administrative, fundraising, and partner engagement operations. This position provides comprehensive administrative and project coordination support to leadership, manages donor relations and internal systems, and assists with operational, fundraising and government relations activities.
The ideal candidate is detail-oriented, highly organized, and thrives in a dynamic environment where no two days are the same. They will balance administrative precision with strong relationship management skills to help advance Campus for Hope's mission.
ESSENTIAL FUNCTIONS
Executive & Office Operations
- Serves as central point of contact for general administrative inquiries and daily office operations providing both staff and visitors with a positive experience via phone, email and in person.
- Provide executive scheduling support for meetings, site visits, and working group sessions. Ensures agendas and supporting documents for meetings are sent in a timely manner, prepares slide decks, takes minutes at meetings and coordinates follow up items with appropriate staff members. Secures locations and refreshments for meetings as necessary.
- Oversee office management, including supplies, vendor coordination, and technology needs. Ensures that leadership has the supplies necessary to maintain efficient operations.
- Donor Stewardship & Development Support
- Develop appropriate workflows and communication templates in donor software, ensures thank you letters are distributed in a timely manner, maintains donor materials for both engagement and acknowledgement and ensures all donor communications adhere to donor acknowledgment matrix.
- Ensure donor stewardship and engagement activities are conducted through coordination of e donor touchpoints, tracking engagement and follow-up activities
- Maintain and update donor materials, presentations, and proposals both digitally and in print as necessary. Coordinates with leadership and public relations consultants to keep materials updated as necessary
- Assist with event logistics, including donor visits, site tours, and small gatherings. Ensure donors are met with enthusiasm and professionalism and have a positive experience with Campus for Hope.
- Support the development and distribution of Campus for Hope's quarterly and monthly newsletters to stakeholders, ensuring timely delivery and accurate content coordination across departments. Ensure stakeholders are added as needed, segmented, and receive the appropriate materials.
Donor Database Management
- Manage donor and prospect information in the organization's CRM/database. Produce reports related to pledges for Controller and CEO to ensure timely pledge payments and other required reports to support the development process.
- Ensure data accuracy, generate reports, and track gift history and interactions. Ensure soft credits are tracked and fundraisers and board members are acknowledged for their development efforts
- Assist with integration of donor and partner data into system workflows.
RFP Process Support
- Support administrative tasks related to Requests for Proposals (RFPs), including tracking deadlines, compiling attachments, creating scoring matrices and maintaining submission calendars.
- Assist in organizing and formatting proposal documents and reports. Communicates with respondents and schedules follow up meetings as requested. Ensures all respondents are provided updates and final determination in the appropriate manner.
Government Relations Support
- Assist with scheduling and tracking of government meetings and public engagements. Ensures Campus for Hope presents to all participating municipalities a minimum of twice per year and stays relevant and top of mind for all elected officials related to the project.
- Maintain calendars of relevant hearings, briefings, and legislative sessions. Tracks bills and maintains bill matrix during legislative sessions. Coordinates travel of leadership to sessions as needed.
- Support follow-up communications and documentation related to external partnerships.
QUALIFICATIONS
- Education: Bachelor's degree or equivalent experience in nonprofit management, communications, public administration, or related field
- Experience:
- 2+ years of experience in administrative, development, or operations support (nonprofit preferred).
- Experience working closely with executive leadership and/or managing high-level relationships or projects. Experience supporting or coordinating nonprofit boards and governance processes.
- Experience with homeless services nonprofit or lived experience preferred.
- Exceptional written, verbal, and interpersonal communication skills.
- Experience with donor databases or CRM systems (e.g., Salesforce, Bloomerang, or similar).
- Ability to manage multiple projects and deadlines in a fast-paced environment, with keen attention to detail.
