We are looking for a dependable, organized, and tech-savvy Assistant Project Coordinator to join our team and support our Project Managers in keeping projects on schedule and running smoothly.


About the Role


The Assistant Project Coordinator will work closely with the Project Manager to provide administrative and scheduling support. This position requires someone who thrives in a fast-paced environment, is detail-oriented, and has a strong understanding of computer technology and project documentation.


Key Responsibilities

  • Support Project Managers in day-to-day project tracking and coordination.
  • Maintain project schedules, update timelines, and follow up on deadlines.
  • Organize and manage project documentation, submittals, and reports.
  • Assist with purchase orders, vendor communication, and material tracking.
  • Prepare meeting agendas, take notes, and distribute action items.
  • Monitor project progress from an administrative perspective and escalate issues when necessary.
  • Use project management software and other technology tools to ensure tasks remain on schedule.
  • Provide excellent internal and external communication to support clients, vendors, and team members.


Qualifications

  • Strong organizational and time-management skills.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, Teams) and comfortable learning new software.
  • Experience with project management software (Procore, MS Project, or similar) preferred.
  • Excellent written and verbal communication skills.
  • Ability to work independently and as part of a team.
  • Detail-oriented with a proactive, problem-solving mindset.
  • Previous administrative or project coordination experience is a plus, but not required.
